Problem Statement
To Improve the onboarding experience by making it intuitive, easy to follow, giving an insight into the company’s culture and guiding the employee to the fullest.
I dedicated my efforts to gathering insights on the this in-house portal and presenting a comprehensive solution.
The onboarding process for new employees in the company was inefficient and did not effectively address all the challenges they faced. In order to work on this, I proposed implementing a comprehensive dashboard solution that tackles various onboarding problems.

I began by engaging in initial brainstorming on the topic, gaining a comprehensive understanding of the various aspects of the problem and the entire onboarding system.
Stages:
- Stage 1: Pre-onboarding.
- Stage 2: Initial onboarding (new hire orientation)
- Stage 3: Team-focused orientation and training.
- Stage 4: Growth, mentoring, and initial performance.
Terms and Processes:
- Frf requests- check on bench
- RRF- outside request- jd from hiring manager
- interviews, hr rounds, negotiation rounds
- Email docs- verification, tasks triggered
- accepted offer- sent to hr ops
- onboarding, screenshots during interview and joining, joining email
Personas within the system:
- TA team- initiation (sign up)
- employee- campus hires (L&D) lateral hires
- buddy
- admin
- reporting manager
Possible Solutions:
- Web Application- Fun filled based
- Completion tasks- gamify
After considering the initial direction, I researched onboarding processes at multinational corporations.
Facebook:
- Follows the 45 minute rule by giving its employees small tasks within the first 45 min joining.
- Enables them to work in diff departments so they can choose which they like
Accenture- countdown to accenture:
- Call at the campus- with some docs
- Docs verify- get provisional ID
- Sessions, lunch, campus tour
Twitter:
- To keep the company culture vibrant, Twitter has a monthly new hire Happy Hour with the Senior Leadership Team, and a rotating schedule of presentations on Friday afternoons where employees can learn about other team projects.
- Has an extensive graduation program- “Noogler” where new recruits have to go through all the activities, training and fun and they graduate from it to start as an official employee.

Key Takeaways I took from this project-
- Considering the entire ecosystem is crucial for effective design.
- To encourage users to complete tasks, utilizing rewards and creating engaging experiences has proven to be beneficial.
- Conducting research and analysis of the current product and process aids in developing a solution that aligns with both business and user objectives.
